ASHWOOD TOWNHOMES OWNERS ASSOCIATION

Annual HOA Meeting

Tuesday May 24, 2011

Location: Forest Library

Laura Cofer the President called the meeting to order at 7:02 pm. The board members present were Ty Schmidt, Vice President, Elizabeth Spurrier , Secretary, Helen Ann Spessard, Amanda Martin, Jennifer Inscoe, all members at large.

Laura introduced Tim Penick, from Light House Properties of Virginia, Inc. He gave a brief explanation about BGP and why he was now taking on the position as our property management company.

We had a good showing of homeowners but still not enough for a quorum.

Treasurer’s Report:

Laura Cofer, went over the budget for 2011 and pointed out the highlights and then opened it up for discussion and questions.

Total Assets: $101,231.93

FNB Operating Account: $ 13,256.41

FNB Money Market: $ 34,188.29

FNB CD: $ 15,515.55

FNB CD: $ 38,271.68

These numbers are from the end of April.

President’s /Management Report:

ASPHALT:

Tim gave an overview of the asphalt problem next to the mailboxes on Blue Ridge View Circle and the process of what is going to happen in the near future. He also explained that we had not paid the company for the work and will not until it is completed properly and we have a written warranty.

He also explained the problem that we are having with Mr. Viar the man who supposedly fixed the asphalt next to the trash bin on the east side of Blue Ridge View Circle. Tim will be in small claims court next week representing our HOA with Mr. Viar.

Tim also shared that he had just gotten information about a plan to have the asphalt in question to be fixed but had not had a chance to share with the board.

PLAYGROUND:

The board told the homeowners about the playground equipment that has been purchased and will be installed in the next month. The board has plans to continue yearly to add on to the existing equipment. We would like to make sure that the equipment is used before putting in major equipment.

We then had a long discussion about increasing the size of the playground, some of the parents decided to take on this task. There was a motion to raise money for additional playground equipment by Ryan Carbonas and seconded by Ty Schmidt. Ryan will draft a letter and hand out to homeowners to try and get donations to increase the size of the playground. Ryan will collect money and will keep the board informed about the progress.

LAWN MAINTENANCE:

We had a long, good discussion with most of the homeowners present sharing their thoughts on the lack of service being provided by Crisp Inc. The end result of the discussion was that we would give him thirty days to get it together. During the meantime start looking into RSG or someone else to come in and take his place.

A motion was brought before the board by Heather Carbonas to get three quotes for the Lawn Maintenance now so that we will be ready if we have to replace Crisp. Seconded by Helen Ann Spessard.

ADDITIONAL TOPICS:

Once again the issue of lighting on the lower streets was brought up. Board members told the homeowners of the exorbitant cost.

There was some questions about the letters that Tim had sent our about the bricks being replaced on certain homes.

Board of Directors Monthly Meeting

Monday June 6, 2011

Location: Jennifer Inscoe Home

Laura Cofer, President called the meeting to order at 6:04pm. Members present Ty Schmidt, Vice President, Elizabeth Spurrier, Secretary, Amanda Martin, and Jennifer Inscoe, members at large and Tim Penick, Property Manager.

OLD BUSINESS:

We discussed what to do about Crisp Landscape and how long to give him to correct all his problems. Ty made a motion and Jennifer seconded it, to give Crisp 30 days from this meeting. The next meeting in July is when we will make our decision as to let him continue or get someone else to do the job.

Tim reminded us that the court date for Kenny Viar is June 30, 2011. The board would like him to carry it as far as he could to try and get something solved.

Talked about the past due HOA fees and how to handle them. If the homeowner is thirty days late, send a notice. If they are three months in the arrears, take legal action and file a warrant. Then ask the judge to accelerate payments to the end of the year. Tim will begin to send late notices this month.

Tim has received one quote for the repair of the asphalt on the East side of Blue Ridge Circle. He is expecting the other two to be coming in soon.

NEW BUSINESS;

We discussed the letter that the homeowners had received from Ryan Carbonas about donations. Decided to get Tim to send a letter, letting him know that he will have to run all the collections through the board, so that we can give receipts.

So far what has been collected is a total of $800.00. Five residents gave a total of $300.00. The remainder $500.00 was given by a relative of a homeowner.

Discussed the signage that has been ordered, date of arrival of equipment. We are hoping that the company will call us in the next week or so letting us know that it has arrived so that we can set a date for the company to bring it out and install.

A homeowner had ask Ty to bring it up at our next meeting about taking $10.00 from each homeowners HOA Fee and putting it toward the playground for the next three months. A good idea but it is not possible since we only had a balance $77.29 this past month in our operating account.

Ty brought up the fact that we should start thinking about doing some long term planning about replacing the trees that have died in the community.
